Refund Policy

1. General Policy

At Eastbridge Academy, we strive to provide exceptional educational experiences for all our students. We understand that circumstances may change, and this Refund Policy outlines the conditions under which refunds will be provided for course fees.

All refund requests must be submitted in writing to info@eastbrid.ge and will be processed within 14 business days of approval.

2. Full Refund Eligibility

You are eligible for a full refund (100% of course fees) in the following circumstances:

  • Course Cancellation: If Eastbridge Academy cancels a course for any reason, including insufficient enrollment, all enrolled students will receive a full refund.
  • Early Withdrawal: If you withdraw from a course more than 14 days before the course start date, you will receive a full refund minus a $50 administrative fee.
  • Schedule Changes: If we make significant changes to the course schedule that conflict with your availability and you cannot attend, you may request a full refund.

3. Partial Refund Eligibility

Partial refunds may be available under the following conditions:

Withdrawal 7-14 Days Before Start: If you withdraw 7 to 14 days before the course start date, you will receive a 50% refund of the course fees.

Early Course Withdrawal: If you withdraw within the first two sessions of the course due to documented medical, family emergency, or other extenuating circumstances, you may be eligible for a prorated refund based on the number of sessions attended. Prorated refunds are calculated as follows:

  • Withdrawal after 1 session: 90% refund of total course fees
  • Withdrawal after 2 sessions: 80% refund of total course fees

All partial refund requests require documentation of the circumstances and are subject to approval by Eastbridge Academy administration.

4. No Refund Situations

Refunds will not be provided in the following circumstances:

  • Withdrawal less than 7 days before the course start date (except in cases of documented emergencies)
  • Withdrawal after attending more than 2 course sessions
  • Absence from classes due to scheduling conflicts, vacation, or other personal commitments
  • Dismissal from a course due to violation of our code of conduct or Terms of Service
  • Dissatisfaction with course content, teaching methods, or academic outcomes (we encourage you to communicate concerns with us during the course)
  • Failure to attend scheduled classes without prior notification

5. Course Materials

Course fees include access to proprietary course materials, problem sets, and digital resources. If you receive a refund and have been provided with physical materials (books, workbooks, etc.), you may be required to return these materials in new, unused condition, or the cost of materials may be deducted from your refund.

Digital materials and access to online platforms must be discontinued upon receiving a refund.

6. Medical and Emergency Situations

We understand that unexpected medical or family emergencies may arise. In such cases, we may offer the following accommodations:

  • Deferral to a future session of the same course (subject to availability)
  • Credit toward a different course
  • Prorated refund based on sessions attended

These accommodations require documentation (such as a doctor's note or other official documentation) and are evaluated on a case-by-case basis.

7. Multi-Session Courses and Payment Plans

For courses with payment plans or installment options:

  • Refunds are calculated based on payments made to date, not the total course fee
  • Remaining installment obligations are cancelled upon approved withdrawal
  • Any outstanding balances for sessions attended must be paid before a refund for future sessions is processed

8. Course Transfers and Credits

As an alternative to refunds, we offer the following options:

Course Transfer: Students may transfer to a different course of equal or lesser value (within the same academic year) without penalty, subject to availability and provided notice is given at least 7 days before the original course start date.

Course Credit: Instead of a refund, students may receive credit toward a future course. Credits are valid for 12 months from the date of issuance and are non-transferable.

9. Processing Time and Method

Approved refunds will be processed within 14 business days of approval. Refunds will be issued using the original payment method. Please note that depending on your financial institution, it may take an additional 5-10 business days for the refund to appear in your account.

For payments made by check, refund checks will be mailed to the address on file.

10. Special Programs and Events

Special programs, camps, workshops, and one-time events may have different refund policies that will be communicated at the time of registration. These special refund policies will take precedence over this general Refund Policy.

11. Dispute Resolution

If you disagree with a refund decision, you may request a review by submitting a written appeal to info@eastbrid.ge within 7 days of receiving the decision. Appeals will be reviewed by our administration team, and a final decision will be provided within 10 business days.

12. Changes to This Policy

Eastbridge Academy reserves the right to modify this Refund Policy at any time. Changes will be posted on our website with an updated "Last Updated" date. The policy in effect at the time of your enrollment will apply to your course registration.
